Operations does the work between the systems you already run
Data comes in from email, portals and your own systems. Operations reads it, checks it against your prices and rules, and decides what happens next. The result goes back out to QuickBooks or wherever it belongs, and when a decision needs a person, they get an email or a text.
Illustrative example.
How it works
It connects to what you already run.
Email, vendor and ordering portals, QuickBooks and the back-office systems you use today. Nothing gets replaced. If a system you rely on isn't connected yet, we build the connection.
Decisions get made in the middle.
We build AI into this step to make the decisions. It reads the documents and data that come in, with every number exact, checks them against your prices and rules, and works out what happens next. Anything it isn't sure about waits for a person.
The result goes back out.
Bills go into QuickBooks and updates go back to the systems they came from. Where it matters, nothing goes out until someone signs off, and when a decision needs a person, they get an email or a text.
An example: vendor invoices
Vendors email their invoices to an address you forward. Every price is checked against the vendor's list or what they charged last time, a price that went up shows on the invoice, and the bill goes into QuickBooks once someone signs off.
It also reads the bills already in QuickBooks. The first time we ran it for a customer, it found 54 invoices that had never been entered, most of them more than a week late, and vendor credits that had been entered twice.
Illustrative example.

Common questions
Which systems can it connect to?
Email, QuickBooks Online, and the portals and back-office systems our customers already use. If yours isn't one of them, tell us what it is and we build the connection. That's part of setup, not a separate project.
What if it reads a number wrong?
Numbers are the part it's built to get exactly right, and it says when it isn't sure. An unclear line becomes a question for a person, and nothing that matters goes out until someone approves it.
Who gets told when something needs a person?
Whoever you name for that kind of decision. They get an email or a text with what it is and a link to it, and everyone else is left alone.
We already do this by hand. Can we start by just checking?
Yes. With invoices, for example, it can read your QuickBooks and show which ones were never entered, which went in with a different total, and which were entered twice, before it writes anything.
Do we have to be in Minnesota?
No. We work with businesses anywhere. If you're in the Twin Cities metro, we can also set you up in person.
How long until I'm using it?
Most customers are live in two to three weeks from signed agreement.
What if I want to cancel?
Cancel anytime with reasonable notice. We'll export your data and hand back anything we run for you, like a website or phone number. The rest stays yours.
Where does our data live?
Your data stays yours. It's encrypted in transit and at rest, isolated from every other customer, and never used to train AI models, ours or the third-party services we use to deliver the product. Subprocessor list available on request. Full details in our privacy policy.
