HVAC dispatch software for shops that run on maintenance agreements
Bloombilt Dispatch puts every tech's week on one board. Maintenance agreements turn into visits on their own, emergency calls drop onto today in a few seconds, the techs see changes on their phones, and finished work goes out as an invoice through the QuickBooks you already run.
HVAC schedules fall apart in peak season
Most of the year the calendar is tune-ups and the odd repair. Then the first heat wave or the first cold snap hits, the phone doesn't stop, and the schedule that lived on a whiteboard or in one dispatcher's head stops working by lunch.
You don't need a bigger platform to fix that. You need to see every tech's day at once, move a job with one drag, and know the tech will see the change. That's what a dispatch board does, and it's the first thing to break when you run the schedule from a spreadsheet.
What Dispatch does
- Every tech's week on one board, a column per day
- Maintenance agreements that turn into visits on their own, with season bounds for spring and fall
- Emergency calls dropped onto today and dragged to whoever is free
- Multi-day installs where each day is its own visit that gets closed out
- A tech app that works in basements and attics with no signal, and syncs when it's back
- Timestamped photos on every finished visit
- Finished work built into an invoice and sent through your QuickBooks
Dispatch doesn't quote, take payments or run payroll. It covers the work between winning a job and getting paid for it, and your books stay in QuickBooks.
When another platform fits better
If your shop runs on a flat-rate price book, sells financing on installs, or needs equipment history and estimates in the same system as the schedule, an all-in-one platform does that and we don't. Housecall Pro and ServiceTitan are built for it. We compared the two most common choices in Jobber vs Housecall Pro.
Common questions
How is this different from Jobber, Housecall Pro or ServiceTitan?
Mostly by what it leaves out, and how it charges. It is a schedule board, a tech app, and QuickBooks invoicing, priced flat per company rather than per user or by team-size tier, so adding a tech for the summer does not raise the bill. It does not quote, estimate, keep a flat-rate price book, finance installs, or take payments. If you want one system for all of that, an all-in-one platform is the better buy, and our comparison posts say which one.
Can it run maintenance agreements?
Yes. A maintenance agreement is a recurring job: spring AC tune-ups and fall furnace checks turn into visits on their own, four weeks ahead, with season bounds so each one only shows up in its season. You set the services and prices, so a twice-a-year plan is set up the same way as any other repeating visit.
What happens when a no-heat call comes in at 7am?
It drops onto today's board as a one-off. You can see the load on every tech before you assign it, drag it to whoever is closest or lightest, and reorder their day. The techs whose stops moved get the change on their phones.
Do installs that run more than one day work?
Yes. A job can span a date range, and each day becomes its own visit that someone closes out with photos, so a three-day changeout doesn't sit as one open job all week.
Can I move over from what I use now?
We move it for you. You tell us what you are on today, whether that is Jobber, Housecall Pro, something older or a spreadsheet, and we bring your customers, properties and recurring maintenance visits across and set them up. You check the result before you rely on it.
How much does it cost?
A flat monthly price quoted for your company, not a per-user seat. HVAC headcount swings with the season, and a bill that jumps every time you hire for July is the pricing problem most shops are trying to get away from.
How long until I'm using it?
Most customers are live in two to three weeks from signed agreement.
Will this work with the tools we already use?
Yes. Our products connect to the systems your team already uses: Google Workspace, CRMs, calendars, Slack, email, and other common business tools.
What if I want to cancel?
Cancel anytime with reasonable notice. We'll export your data and hand back anything we run for you, like a website or phone number. The rest stays yours.
Where does our data live?
Your data stays yours. It's encrypted in transit and at rest, isolated from every other customer, and never used to train AI models, ours or the third-party services we use to deliver the product. Subprocessor list available on request. Full details in our privacy policy.
