Property management answering service
A unit floods at midnight. The office opens at nine.
Bloombilt answers for your whole portfolio. It triages the maintenance emergency and wakes the right vendor, screens the leasing call and books the showing, and leaves everything else in your inbox as a work order. Around the clock, across every property.
Three calls, one phone line.
- Maintenance emergency
- A unit floods at midnight. The tenant does not know your after-hours process and does not care. If nobody answers, they call again at 2am, then a plumber themselves, then leave a review about it.
- Leasing inquiry
- Someone rings about a vacant unit during a showing you are already running. That caller is comparing three listings this afternoon and will tour whichever one answers first.
- Vendor and owner
- A contractor calls to confirm access, an owner calls about a statement. Neither is urgent, both interrupt, and both end up as a callback list nobody gets to.
The emergencies are the after-hours ones.
Nothing about property management is a nine-to-five problem. Water, heat, gas, smoke, and lockouts happen at night and on weekends, and a tenant with no answer escalates: to a second call, to an emergency vendor at their own rates, to the owner, or to a public review. An after hours answering service for property management is not a convenience, it is how you keep an incident small.
We set the triage rules with you. The AI decides what is an emergency by your definition, not a generic one, tells the tenant what to do in the meantime, and reaches the on-call vendor with the unit and the problem already written down.
What it does across the portfolio.
- Answers every call, text, and website chat across your whole portfolio
- Triages a maintenance emergency and escalates it to the on-call vendor
- Screens leasing inquiries and books the showing
- Sends the transcript and the details to your inbox before you pick up
Every call is tagged with the property and the unit, so an answering service for property management companies running fifty doors reads the same as one running three buildings.
Apartment buildings too.
An apartment answering service is the same job with more doors. Residents call the office because they do not know who else to call, and the mix skews harder toward after-hours maintenance and vacancy inquiries. Same triage rules, same setup, more volume.
If your buildings run under separate brands, it can answer as each one.
Running live
Bloombilt answers the calls Norblom Plumbing's team can't get to, including the ones that come in at night from people whose water is going where it shouldn't. That is the same call your tenants make.
Norblom Plumbing · St. Paul, Minnesota. A plumbing shop, not a management company. Our proof is one customer we know well, and we would rather say that than imply a portfolio we don't have yet.
See how it would triage your last emergency.
Fifteen minutes. Bring a call that went badly and we'll walk through it.
Common questions.
Can it tell a real emergency from a routine work order?
Yes, and that is most of the value. We set the triage rules with you during onboarding: what counts as an emergency for your portfolio, who is on call for it, and what a tenant should be told to do in the meantime. Genuine emergencies get escalated by text or phone with the unit, the address, and the problem. Everything else lands as a work order in your inbox for the morning.
Does it work across multiple properties?
Yes. It answers for the whole portfolio and tags each call with the property and unit, so a fifty-door operator and a three-building owner get the same system. It can also greet callers differently per property if the buildings run under different brands.
Do you handle apartment buildings specifically?
Yes. Apartment management is the same job with more doors: after-hours maintenance, leasing inquiries on vacant units, and tenants who call the office because they do not know who else to call. Nothing about the setup changes.
Do I have to change my phone number or provider?
No. It runs on top of the phone system you already have. During onboarding we point your unanswered calls at the AI, so it catches the overflow and the after-hours calls instead of letting them roll to voicemail. Your number, your phones, and your provider stay exactly as they are.
How much does it cost?
Every deployment is custom-quoted, because every portfolio runs differently. We build the front desk around your properties, your triage rules, and your on-call vendors, then give you one flat monthly price. No per-call fees.
Is this an answering service or a virtual receptionist?
Both words describe the same job, and different shops use different ones. An answering service traditionally takes a message; a virtual receptionist is expected to act like your front desk, which means answering questions and booking the work. Ours does the second: it answers, tells the caller what you do and when you can come, books the appointment, and sends you the transcript. Call it whichever you like.
How long until I'm using it?
Most customers are live in two to three weeks from signed agreement.
Will this work with the tools we already use?
Yes. Our products connect to the systems your team already uses: Google Workspace, CRMs, calendars, Slack, email, and other common business tools.
What if I want to cancel?
Cancel anytime with reasonable notice. We'll export your data and hand back anything we run for you, like a website or phone number. The rest stays yours.
Where does our data live?
Your data stays yours. It's encrypted in transit and at rest, isolated from every other customer, and never used to train AI models, ours or the third-party services we use to deliver the product. Subprocessor list available on request. Full details in our privacy policy.
