Scheduling software for QuickBooks: 9 options, what syncs, and on which plan
What QuickBooks does for scheduling on its own, then nine tools that sync with QuickBooks Online, which plan you need, and what it costs. Checked October 30, 2026.
Disclosure: Bloombilt makes Dispatch, a scheduling and crew app that sends invoices through QuickBooks Online. It’s one of the nine options below, and we say where the others beat it.
The short answer
QuickBooks Online doesn’t run a crew schedule. Intuit’s answer is QuickBooks Time, a separate subscription that schedules people by job or shift and tracks their hours. If what you need is “who works when, and how many hours did they put in,” that’s the cheapest way to stay inside Intuit.
If you need a dispatch board, a crew app with the day’s jobs on it, and finished work turned into invoices in QuickBooks, you need field service software that syncs with QuickBooks Online. Most of the big names do. The catch is the plan: the sync is often missing from the cheapest tier, so the price on the sticker isn’t the price you’ll pay for the integration.
- You only need shifts and hours: QuickBooks Time, or Connecteam.
- You want a full suite that pushes invoices into QuickBooks: Jobber (from Connect) or Housecall Pro (from Essentials).
- Pest, lawn, cleaning or pool, paying per route: GorillaDesk (from Pro).
- Phones first, quote-only pricing: Workiz.
- A big trade shop with an office team: ServiceTitan.
- The schedule is what’s broken and QuickBooks already does the money well: Bloombilt Dispatch.
What QuickBooks does for scheduling on its own
QuickBooks Online is accounting software. Its pricing page, checked October 30, 2026, lists four plans, and none of them list a crew schedule or dispatch board:
| Plan | Price | Users |
|---|---|---|
| Simple Start | $38/mo | 1 |
| Essentials | $85/mo | 3 |
| Plus | $140/mo | 5 |
| Advanced | $340/mo | 25 |
What QuickBooks sells for scheduling is QuickBooks Time, checked the same day:
| Plan | Base price | Per user | What the page adds |
|---|---|---|---|
| Time Premium | $20/mo | $10/mo | Scheduling, time tracking, the Workforce mobile app |
| Time Elite | $40/mo | $12/mo | Adds project tracking, estimates vs actuals, mileage |
Scheduling is on both plans. The page describes it as creating schedules and sharing them with your team, and Intuit’s marketing calls it scheduling “by jobs or shifts.” There’s a 30-day free trial, but it covers the base price only. The per-user fees aren’t included.
What QuickBooks Time doesn’t list: routes, a visit history per property, photo proof of finished work, or turning a finished job into an invoice. It schedules people and counts their hours. For a crew that needs to know which houses to hit today and prove they did, that’s half the job.
The options side by side
Each vendor’s own pricing or help page, checked October 30, 2026. “Syncs on” is the cheapest plan where the vendor says the QuickBooks Online sync is included.
| Tool | Built for | Published price | QuickBooks Online sync on |
|---|---|---|---|
| QuickBooks Time | Shift scheduling and hours, any business | $20 to $40/mo plus $10 to $12 per user | It’s Intuit’s own product |
| Jobber | Home service crews, especially repeat residential work | $29 to $699/mo depending on plan and team size | Connect and up |
| Housecall Pro | Home service trades that sell from a price book | $59 to $299/mo billed annually, $79 to $329 monthly | Essentials and Max |
| GorillaDesk | Pest control, lawn care, cleaning, pool service | $49 to $149/mo for the first route, unlimited users | Pro and Growth |
| Workiz | Locksmith, garage door, appliance repair, HVAC | Quote only | All plans |
| ServiceTitan | Larger residential and commercial trade shops | Quote only, priced per technician | All customers, turned on by your success manager |
| FieldPulse | HVAC, electrical, plumbing and other contractors | Quote only, priced per seat | Listed as a feature; the page doesn’t say which plan |
| Connecteam | Any crew that needs a schedule and a time clock | Free up to 10 users; $29 to $99/mo for the first 30 | Exports timesheets to QuickBooks payroll |
| Bloombilt Dispatch | Crews whose problem is the schedule | Quoted flat per company | Every customer; invoices go out through your QuickBooks Online |
Who each one is for
QuickBooks Time
The right answer if you’re scheduling shifts, not routes, and the thing you care about is getting accurate hours into payroll. Time Premium covers scheduling and the mobile time clock. Time Elite adds project tracking and a budget-against-actual-hours view, which is useful if you bid jobs by the hour. It’s the only option here that’s Intuit’s own, so there’s no third-party sync to set up or break.
It stops at hours. Customers, job sites and invoices still get handled in QuickBooks Online by hand.
Jobber
The name most people mean when they search “scheduling software that works with QuickBooks.” Jobber prices by team-size band, and the QuickBooks Online sync starts on Connect. On Jobber’s pricing page, checked October 30, 2026, Connect is $99 a month for one person billed annually, $149 for a team of 2 to 5, $229 for 6 to 10 and $299 for 11 to 15. Core, the $29 solo plan, doesn’t include the sync. Two-way client texting starts on Grow and crew scheduling is on Plus, the top tier. Our Jobber pricing breakdown has every band.
How the Jobber QuickBooks integration works, from Jobber’s QuickBooks FAQ, checked October 30, 2026:
- It’s QuickBooks Online only. The FAQ says “there is no active sync with QuickBooks Desktop.”
- One Jobber account connects to one QuickBooks account at a time.
- On Jobber’s newer integration, the sync is “one-way from Jobber to QuickBooks in real-time.” Client details can come over from QuickBooks into Jobber when you set it up.
- Invoices and payments sync to the main (parent) client in QuickBooks, not to sub-customers.
If you’re weighing whether you need Jobber at all when you already pay for QuickBooks, we wrote that up in Jobber vs QuickBooks.
Housecall Pro
A full suite like Jobber, with a price book, consumer financing and job costing on its cheapest plan. The QuickBooks Online sync needs Essentials ($149 a month annual, $189 monthly, five users) or Max ($299 annual, $329 monthly, eight users), per its help center, checked October 30, 2026. That article lists all four QuickBooks Online plans as compatible, Simple Start included. So a solo operator who wants the sync pays $149, not the $59 Basic price.
The sync article, same day, says it “typically functions one-way,” from Housecall Pro to QuickBooks Online. Invoices, payments, new customers and new price book items go over when a job is finished, an invoice is sent or a job is marked paid, usually within two to five minutes. Two things to know before you rely on it. If you edit an invoice after it syncs, the change doesn’t carry over until you push it again. And an invoice you delete or cancel in Housecall Pro has to be deleted or cancelled in QuickBooks by hand.
Housecall Pro also has a QuickBooks Desktop sync that runs through the QuickBooks Web Connector. Every plan and add-on is in our Housecall Pro pricing post.
GorillaDesk
Priced by route, not by person, which is the interesting part for a crew that hires seasonal help onto existing routes. From its pricing page, checked October 30, 2026: Basic is $49 a month for the first route, Pro $99 and Growth $149, with more for each added route, and unlimited users on every plan. The QuickBooks Online sync is on Pro (“Sync your GorillaDesk account with QuickBooks Online to keep all your finances in order”) and carries into Growth. Basic doesn’t list it. There’s a 14-day trial with no card.
On Pro, a second route adds $50 a month. Basic gets cheaper per route past the third, but Basic doesn’t sync.
Workiz
Workiz builds around the phones and the on-demand trades: locksmith, garage door, appliance repair, plus HVAC, plumbing and electrical. Its pricing page, checked October 30, 2026, shows no prices, only “Request pricing” buttons. The comparison table marks “QuickBooks online sync” as included on Standard, Pro and Ultimate, so you get it on whichever plan you buy. Its phone system and AI answering are listed as sold separately in the table, while the FAQ says every plan has a built-in phone system. Ask which one is true for your quote. 7-day trial.
ServiceTitan
Built for shops with dispatchers, CSRs and a sales process. No published price; its pricing page says it’s per technician. ServiceTitan’s help center, checked October 30, 2026, says the QuickBooks Online integration is “available to all ServiceTitan customers” and syncs invoices, payments, expenses and sales tax. Your customer success manager has to turn it on. What the contract looks like is in our ServiceTitan pricing post, and we put it next to Housecall Pro in Housecall Pro vs ServiceTitan.
FieldPulse
Work orders, scheduling, dispatch and reporting for contractor trades. Its pricing page, checked October 30, 2026, is quote only and seat-based, and lists “QuickBooks Integration” under platform features without saying which plan includes it. Get that in writing before the demo ends.
Connecteam
An employee app: scheduling, a time clock, forms and tasks. From its pricing page, checked October 30, 2026, it’s free for up to 10 users, and the Operations plans run $29, $49 and $99 a month on annual billing for the first 30 users. The page lists “payroll integration” from Operations Basic up.
The QuickBooks link is about hours, not invoices. Connecteam’s help article, checked October 30, 2026, says it exports timesheet hours and jobs into QuickBooks Online payroll. It needs payroll on your QuickBooks account, and it only works with QuickBooks plans that have the “Track time” feature (Essentials, Plus and Advanced). It can’t send overtime as a separate line, paid time off, or contractor hours. It doesn’t bill your clients. So it competes with QuickBooks Time, not with Jobber.
Bloombilt Dispatch
This is us. Dispatch is a schedule board for the whole week, a crew app that keeps working with no signal, and timestamped proof photos on every finished job. When the work is done, Dispatch builds the invoice and sends it through your own QuickBooks Online, so QuickBooks stays the system that bills and collects. It’s priced flat per company, so the seasonal hires don’t change the bill, and we move your clients, properties and recurring schedules over ourselves.
Where it’s the wrong pick: it doesn’t quote or estimate, take payments, run payroll, keep a price book or offer financing. If you need those in the same system, Jobber or Housecall Pro is the better fit. It’s also new, and every other name here has years on us. We wrote about when splitting the schedule from the money side makes sense, and when it doesn’t.
What a five-person crew pays, QuickBooks included
Our math from the published prices above. The crew is an owner, an office manager and three crew members. The owner and office share QuickBooks Online Essentials at $85 a month, because the crew doesn’t need accounting seats. Each row is the cheapest plan that includes the QuickBooks link.
| Setup | Scheduling tool | Plus QuickBooks Online Essentials |
|---|---|---|
| QuickBooks Time Premium, 5 users | $70/mo ($20 + 5 × $10) | $155/mo |
| QuickBooks Time Elite, 5 users | $100/mo ($40 + 5 × $12) | $185/mo |
| Jobber Connect, 2 to 5, annual | $149/mo | $234/mo |
| Housecall Pro Essentials, annual | $149/mo | $234/mo |
| GorillaDesk Pro, one route | $99/mo | $184/mo |
| GorillaDesk Pro, two routes | $149/mo ($99 + $50) | $234/mo |
| Connecteam Operations Basic, annual | $29/mo | $114/mo, plus QuickBooks payroll |
| Workiz, ServiceTitan, FieldPulse | Quote only | Quote plus $85 |
| Bloombilt Dispatch | Quoted flat per company | Quote plus $85 |
Three notes on that table. QuickBooks Time’s base fee includes one admin, so ask whether the owner counts as one of the five paid users; if not, take $10 or $12 off. Connecteam’s QuickBooks export needs payroll on your QuickBooks Online account, which isn’t in the $85 and which we didn’t price. And Jobber’s two-way client texting is on Grow, $229 a month at this size, which would bring that row to $314.
Questions to ask about any QuickBooks sync
“Integrates with QuickBooks” covers everything from a live two-way link to a CSV export. These are the questions that tell them apart:
- Which plan includes it? Jobber, Housecall Pro and GorillaDesk all leave it off their cheapest plan.
- Which way does it go? Jobber and Housecall Pro both describe theirs as mostly one-way, out of the field app and into QuickBooks. Fix a typo on the QuickBooks side and the field app won’t know.
- What happens when you edit an invoice after it syncs? On Housecall Pro you push it again by hand.
- Online or Desktop? Jobber doesn’t sync with Desktop at all. Housecall Pro does, through the Web Connector. Ask everyone else.
- Sub-customers and job sites. Jobber posts invoices to the parent client. Housecall Pro imports two levels of customers and skips the third. If your QuickBooks is organized by property under each customer, test it with real data in the trial.
- Who turns it on? Most are self-serve. ServiceTitan’s is enabled by your success manager.
How to pick
Start from what’s broken.
- Payroll hours are wrong or late: QuickBooks Time or Connecteam. You don’t need a field suite to fix a time clock.
- You need quotes, a price book, payments and the schedule in one place: Jobber or Housecall Pro, priced at your exact headcount on the plan that syncs. We compared them in Jobber vs Housecall Pro, and the wider field is in Jobber alternatives and Housecall Pro alternatives.
- Every customer is on a route and you hire for the season: GorillaDesk’s per-route pricing.
- You run a call center and payroll inside the field software: ServiceTitan.
- QuickBooks already does the money well and the schedule is the mess: a dispatch tool that leaves invoicing in QuickBooks.
If that last one is you, book fifteen minutes and we’ll show you what QuickBooks plus Dispatch looks like for your crew. If you need quoting and payments in the same app, we’ll tell you Jobber or Housecall Pro is the better buy.
